Behind every smooth event is a team that trusts each other

When an event goes well, guests rarely notice the work that made it go well. That’s the goal. But behind a two-hour reception are weeks of planning and dozens of people who each had one job to get right.

At Sparkles, an event usually involves our planners, décor crew, production team, make-up artists, photographers, ushers and outside vendors. Any one of them can create a problem for all the others. If the sound check runs late, the programme slips. If the make-up isn’t finished on time, the photographer misses the preparation shots. If the caterers arrive before the tables are set, everyone is working around each other.

What good teamwork looks like in practice

  • One timeline everybody sees. Every team gets the same schedule, not just their own part of it, so they know how their work affects the next person’s.
  • A named lead for each area. When something goes wrong, people shouldn’t have to ask who to talk to.
  • Briefings before the event. A short walk-through with the whole team on the day, covering who is where, who covers what, and what to do if plan A fails.
  • Talking during the event. Our crew stays in contact throughout, so a small problem at the entrance is fixed before it reaches the stage.
  • Reviewing afterwards. We go through what worked and what didn’t, so the next event is better.

Having everything handled by one company helps here. Our planners, make-up artists, photographers and technical crew already know how each other work, so there’s less time spent on introductions and more on the event itself.

Clients often tell us the day felt calm. That calm is the result of a lot of coordinated effort that you weren’t meant to see.
